Installation Steps

  1. Click Install Template above
  2. Connect your Cleft account
  3. Connect your Notion workspace
  4. Select your target database
  5. Customize field mappings if needed
  6. Turn on the Zap
Important: When creating a note, add the tasks tag to trigger automation. This gives you a chance to review items before they sync to Notion. Your Notion database will now auto-populate from Cleft notes!

Use Cases

1. Customer Interview → Product Requirements

Voice your customer interviews in Cleft. Key requirements become Notion database entries, tagged and searchable for the entire product team. Time saved: 45 minutes per interview (transcription + database entry)

2. Content Brainstorm → Content Calendar

Brainstorm article ideas in Cleft with checkboxes for topics. They flow into Notion’s content calendar database with automatic categorization. Time saved: 30 minutes per brainstorm session

Customization

By default, only notes tagged with tasks will trigger automation (your human review checkpoint). To trigger from every note instead:
  1. Open the Zap in Zapier
  2. Edit the trigger step
  3. Remove the “tags contains tasks” filter
  4. Save and turn on
Now every note with checkboxes will auto-sync to Notion, with no review step.
Customize which Notion properties get populated:
  1. Edit the Zap in Zapier
  2. In the “Create Database Item” step, map fields:
    • Title → Checkbox text
    • Status → Automatic (New, In Progress, Done)
    • Tags → Category from note tags
    • Custom fields → Any other Notion properties
  3. Save and test
This allows you to capture everything you need in one automation.
Create different Zaps for different databases:
  1. Database 1: Customer feedback (one Zap)
  2. Database 2: Product ideas (another Zap)
  3. Database 3: Documentation TODOs (third Zap)
Use filters to route notes to the right database based on tags or keywords.
Link your Cleft notes to Notion entries:
  1. In Zapier, add the Cleft note URL to the Notion entry
  2. This gives teams full context with one click
  3. They can jump back to your original voice note from Notion

Checkbox Format

Standard Markdown:
- [ ] Feature request: Dark mode support
- [ ] Bug: Export crashes on large files
- [ ] Improvement: Better API documentation
Each becomes a Notion database entry.

Troubleshooting

  1. Checkbox format: Verify - [ ] text format
  2. Zap is ON: Check Zapier dashboard
  3. Notion permissions: Ensure you can create items in that database
  4. Database selection: Verify you selected the correct database
Edit the Zap and select the correct database in the “Create Item” step.
Some Notion properties (multi-select, relations) aren’t available in Zapier templates. You can:
  1. Leave them empty when creating
  2. Fill them in manually after creation
  3. Add them in a second Zap if needed
