How It Works

1. Voice Capture in Cleft

   Create a note with your action items

2. Add Checkboxes

   Format items as checkboxes:

   - [ ] Update website copy
   - [ ] Review design mockups
   - [ ] Prepare Q4 presentation
   

3. Tag with 'tasks'

   Add the tasks tag to your note. This is your human review checkpoint—review the items before they sync to ClickUp as tasks.

4. Trigger

   Save the note to start automation

5. Extract

   Python extracts all unchecked checkboxes

6. Create in ClickUp

   Each checkbox becomes a ClickUp task

7. Workspace Ready

   Tasks appear in your ClickUp workspace, assigned and organized

Setup Requirements

Installation Steps

3. Connect your ClickUp workspace
4. Select your target list or space
5. Configure assignments if desired
6. Turn on the Zap

Important: When creating a note, add the tasks tag to trigger automation. This gives you a chance to review items before they sync to ClickUp as tasks.

Customization

Change Trigger to All Notes

By default, only notes tagged with tasks will trigger automation (your human review checkpoint). To trigger from every note instead:

1. Open the Zap in Zapier
2. Edit the trigger step
3. Remove the “tags contains tasks” filter
4. Save and turn on

Now every note with checkboxes will auto-sync to ClickUp, with no review step.

Route to Different Spaces/Lists

Create separate Zaps for different ClickUp locations. Use filters to organize tasks by project or team.

Assign and Prioritize

Customize task assignments and priority levels directly in Zapier.

Add Custom Fields

Use ClickUp’s custom fields for tracking status, effort, or other metadata.

Checkbox Format

- [ ] Task 1
- [ ] Task 2
- [ ] Task 3

Each becomes a ClickUp task.

Troubleshooting

Tasks not appearing

1. Checkbox format: Verify - [ ] text
2. Zap is ON: Check Zapier
3. ClickUp connection: Verify proper setup

Wrong location

Edit the Zap and select the correct ClickUp space/list.
