What It Does

Automatically create tasks in Asana from Cleft voice notes. Voice capture your action items with checkboxes and they instantly appear in your Asana projects, ready to assign, schedule, and track with your team.

How It Works

1. Voice Capture

   Create a new note in Cleft with your ideas or action items

2. Format with Checkboxes

   Add checkboxes for items you want to track:

   - [ ] Design new landing page
   - [ ] Review Q4 budget proposal
   - [ ] Schedule client presentation
   

3. Tag with 'tasks'

   Add the tasks tag to your note. This is your human review checkpoint—review the items before they sync to Asana as tasks.

4. Trigger

   When you save the note, automation starts immediately

5. Extract

   Python code pulls all unchecked checkboxes

6. Create Tasks

   Each checkbox becomes an Asana task

7. Team Visibility

   Tasks appear in your project, ready for assignment and scheduling

Setup Requirements

Installation Steps

5. Customize field mappings if needed
6. Turn on the Zap

Important: When creating a note, add the tasks tag to trigger automation. This gives you a chance to review items before they sync to Asana as tasks.

Customization

Change Trigger to All Notes

By default, only notes tagged with tasks will trigger automation (your human review checkpoint). To trigger from every note instead:

1. Open the Zap in Zapier
2. Edit the trigger step
3. Remove the “tags contains tasks” filter
4. Save and turn on

Now every note with checkboxes will auto-sync to Asana, with no review step.

Assign to Team Members

Auto-assign tasks to specific team members:

1. Edit the Zap in Zapier
2. Add assignee field in “Create Task” step
3. Map to team members or use filters to route based on content

Set Due Dates and Dependencies

Enhance tasks with timeline information:

1. Add due date field in Zapier
2. Set dependencies if your Asana plan supports it
3. Include in project timelines automatically

Use Custom Fields

Leverage Asana’s custom fields:

1. Map priority levels
2. Set status or category
3. Track effort estimates
4. All configurable in the Zap editor

Checkbox Format

Troubleshooting

Tasks not appearing in Asana

1. Checkbox format: Verify - [ ] text format
2. Zap is ON: Check Zapier dashboard
3. Project access: Ensure you can create tasks in that project
4. Asana connection: Verify Asana is properly connected

Tasks going to wrong project

Edit your Zap and select the correct Asana project in the “Create Task” step.

Missing custom fields

Some Asana custom fields may not be available in Zapier templates. You can fill them in manually after creation or set default values in Zapier.
